Finances and accounts are not something that can be taken lightly, which is why when it comes to outsourcing your books you need to take proper precautions. While there are many bookkeepers that will advertise their skills online, you cannot trust that everyone is certified or as secure as they would like you to believe. Thus, it pays to read over the seven tips for hiring a GREAT bookkeeper before you make any serious commitments to a bookkeeping firm or assistant.3

Check references-:
The very first thing that you need to do when considering a bookkeeper is the same thing that you would do when hiring any employer, check their references. If they cannot provide you with any or their references fall through than this is automatically a black flag that you need to move on.

Ask for previous client information-:
If everything looks fine with references, then the next thing you should do is ask for previous client contact numbers. You can also refer to this step as checking job history because it will give you an idea of how well they work and if they are properly skilled to complete your tasks.

Initiate contact via a messenger-:
Once the references and work history checks out then it is time to move onto the next set of tips in the top seven tips for hiring a GREAT bookkeeper. This requires you to initiate a conversation with your potential bookkeeper via an instant messenger client to see what the outsourcer expects from his end and so that you can detail what you expect from them.

Arrange a video or phone conference-:
If it seems that both sets of expectations align than you need to arrange a phone or video conference so that you can interact better with each other and see if the arrangement will work out long-term.

Evaluate communications-:
It is during this conversation that you should evaluate how well you are able to communicate with the bookkeeper. Communication is the number one reason that most business relationships break down, so establish honestly if this will be a problem or not.

Perform a background search-:
If the person you want to hire is from your country, you can take some time and perform a background search. If they are not, at least run a general search for them online to make sure that there is not any negative reviews of their previous work floating around. While it is a long shot that you will find anything, it does not hurt to be prepared.

Check resources-:
Finally, if everything else seems that it will work out, make sure that your bookkeeping choice has all the proper software to meet your requirements. If they do not make sure they are willing to purchase it since software incompatibility issues will ruin any potential benefits from choosing to outsource your bookkeeping tasks.

It’s a sad fact, but it’s been known to happen. Although one of the key requirements for a good bookkeeper, after intelligence and a facility with numbers, is discretion — a respect for privacy and confidentiality — some bookkeepers drop the ball big-time on that one. Let me tell you a little story — with the names changed, of course.

“Barbara” was a bookkeeper who worked for a small company whose owner, “Steve,” had decided to apply for a loan in order to expand his business. Steve went down to the bank where he had his business account, filled out the necessary papers, and waited. “Ryan,” the bank officer he spoke with, told him things were looking very good for Steve getting the loan.

That Saturday, Barbara went to the nail salon. Her nail tech (they don’t call them “manicurists” anymore) asked how things were at work. “Fine,” Barbara said. “You know I like my job.” The nail tech hazarded a guess that Barbara would be working there till she retired. “I hope so… if the company lasts that long,” Barbara replied. The nail tech expressed surprise at Barbara’s remark. “Steve’s applied for a loan,” Barbara explained, “but he’s trying to expand too fast.

I’m afraid the whole thing’s gonna come crashing down on him. We have some accounts that are delinquent, the roll-out of the new product has been less than successful…” and she went on to enumerate the company’s troubles. The nail tech made no further comment but listened as she filled in Barbara’s acrylics.

A little while later, Ryan’s wife was seated in that same chair, getting her nails worked on. And the nail tech, in the course of chit-chat, related Barbara’s comments to this woman… who, naturally, carried the story back to her banker husband.

Steve didn’t get the loan, and when Barbara, in a paroxysm of guilt, unburdened her soul by confessing her indiscretion, Steve fired her. But the damage had been done.

Now, certainly most bookkeepers exhibit more discretion than that… but there’s always one who doesn’t know how to keep his or her mouth shut.

One solution to the problem is to hire a virtual bookkeeper. This offsite worker may be in another town, another state, or even another country. He or she will face little temptation to share the stories of what s/he has learned in the course of his/her work: S/he doesn’t live or work in the area, doesn’t know people who know the people s/he works for. And even should s/he make a minimal comment to a friend, that friend doesn’t know any of these people and is in no position to say something to someone that can come back and “bite the business owner in the butt.”

Hiring the services of a virtual bookkeeper may be the best way to indiscretion-proof your business.

You own a small business, and it’s growing. When you first set up shop, you were a “one-man band.” You went out and made sales calls for most of the day, came back to make collection calls before the day was over, and probably provided your company’s service or supervised the manufacture or distribution of your product as well. In the evenings, you did your bookkeeping. And in the morning, you started all over again.

Time went on, and your business began to grow. You hired a sales rep, and you were relieved to be shed of that responsibility. But as your new sales rep showed his or her effectiveness, adding new accounts and boosting the orders of existing accounts, you found yourself spending more and more time on bookkeeping and collections. Finally you decided it was time to hire a bookkeeper.

That was when you started to think. Your thoughts turned first to the fact that if you brought a bookkeeper onboard, whether full-time or part-time, you were going to have to pay his or her FICA and unemployment. You also were going to have to find room for another desk and chair, add another phone, and more.

But it was the tax situation that was predominantly eating at you. You didn’t want to be held responsible for those social security contributions, the morass of paperwork involved (even if your new bookkeeper actually did the work, you’d still have to pay him or her for doing it), the forms to fill out…. Ick! Taxes! Ick! Paperwork! Ick! Forms!

And if you’re really smart, that’s when you realized that the ideal solution was to engage the services of a virtual bookkeeper, an offsite worker who might be a sole practitioner or a worker in a larger company, but someone knowledgeable about bookkeeping, billing, taxes, forms, and all the other intricacies… but whom you wouldn’t have to list as an employee, pay FICA and other deductions for, fill out forms for, or otherwise get entangled in legal requirements for.

It’s thinking like that that got you to where you are now, thinking like that that will get you ahead in years to come, and thinking like that that, if it hasn’t already led you to engage the services of a virtual bookkeeper, will lead you in that direction now.

It’s certainly the answer to your “taxing” situation.

For industries and businesses, it is necessary to keep track of the transactions made by the company with its customers and other companies as well.

With bookkeeping, this aspect is focused upon by means of documentations that serve as the proof of the company’s performance and improvement. And with the boom of information technology, there is no better way to monitor a company’s growth than Bookkeeping Outsourcing. Business Process Outsourcing is a term generally used to pertain to a company teaming up with another that can offer the former services that it might need, but is not necessarily focused in doing so. Take for instance a fast-food chain.

Ever wondered why some offer a money-back guarantee if they are not able to deliver your order on time? These companies are assured that they will be able to deliver on time, because what they do is have a single system controlling all orders and calls from customers. What happens is that the orders or transactions are forwarded by the main system to the branch nearest you, hence ensuring that your order will get to you fast. For some, this kind of business process is not necessarily done by the company itself.

Such companies tend to “outsource”, which means having another company do the process for them. And for most companies, they are particular with the documentation of all their business processes, and this is where bookkeeping comes in.Bookkeeping is the activity of recording all the transactions made by the company. From purchases to sales to customer feedback, bookkeeping is a way of keeping an eye on every single detail regarding the company.

Years ago, traditional bookkeeping involved piles and piles of paperwork, documents, and other files stored in rows and rows of office cabinets. But now that the world is conveniently united, thanks to the Internet, it is easier for businesses to communicate and transact, and at the same time keep track of all the activities they have gone through. With computers, all the documents are saved in the virtual world, and are shared from one person to another. Ease of access to such documents is provided by local network connections between computers, or through servers in the Internet for remote locations. This is what made Bookkeeping Outsourcing possible.

With outsourcing, a company is able to lessen its expenses and taxes, and at the same time given the chance to focus more on what they really do. Bookkeeping Outsourcing enables such companies to continue with their business, without having to worry about keeping track of their growth; but still they are able to monitor and document all of the companies’ dealings.

Bookkeeping or accounting is an important part of the corporate world no matter what size the business is. This aspect of the business is an important factor to consider in making financial decisions and other aspects of the company since it involves all aspects that has your money in it – financial records, profits and losses, business revenue, and other expenses.

Due to its importance, it is necessary that you need to have highly efficient and smart people to work in this department. These people must be good in financial planning and accounting.

Recent trends in the business world shows that most companies prefer to get bookkeeping assistance from an outside form or what we call bookkeeping outsourcing. This has been a trend since the cost of hiring people full time for bookkeeping has risen. Outsourcing your bookkeeping services makes you save some money by delegating the bookkeeping responsibilities to another agency instead of hiring your own staff. A lot of companies have been doing this for a long time and the number of companies who joins the bandwagon of bookkeeping outsourcing is increasing every year.

Bookkeeping outsourcing makes you reduce labor costs significantly in terms of all the administrative costs that you have to spend when you have a full staff for this department. In fact, with bookkeeping outsourcing, the job can be done at a cheaper rate and at a lesser time.

When you get bookkeeping services from outside the company, you get an outsider’s point of view on your financial standing. The firm does not only keep track of all your financial records with much accuracy but they can also tell you where you stand in the market. And when facing a crisis, they can always give you advice as to how to make it through.

To get the best out of bookkeeping outsourcing, your company must choose a firm that has enough experience and knowledge to do the job. You have to make sure that their personnel are also able to handle a lot of different business accounts.

Remember that any company can make their way to success as long as there’s someone who can keep track of all its records and financial activities. For an error free financial data, bookkeeping outsourcing is the best step for your company.
